Voice agents: what callers actually notice.

Callers forgive a slightly robotic voice. They do not forgive being made to repeat themselves. What matters when a machine answers the phone.

The voice is the part everyone asks about first, and it is the part that matters least. After a few seconds callers stop noticing whether the voice is human. What they keep noticing is whether the conversation is going anywhere.

Answer fast, then listen

The agent picks up within a couple of rings and says who it is. It does not pretend to be a person, and it does not deliver a menu. It asks what the caller needs and then lets them talk, including the pauses and the corrections. Interrupting a caller mid-sentence is the fastest way to lose them.

Never ask twice

The caller's number, their history, their open bookings: all of it is available to the agent before it says hello. If they gave a reference number ten seconds ago, the agent has it. If they are transferred to a person, the person has the whole conversation in front of them. Repeating yourself is the thing callers hate most, and it is entirely avoidable.

Do the thing, on the call

A voice agent that only takes messages is a slower answering machine. Ours act inside your systems while the caller is still on the line: the appointment is moved, the order status is read out from the ERP, the address is updated. The caller hears it confirmed and hangs up done.

Know when to hand over

  • The caller asks for a person: transferred immediately, with context, no argument.
  • The caller is upset: transferred, and flagged so the person knows before they pick up.
  • The request is outside the agent's scope: it says so plainly and offers the fastest route to someone who can help.
The best compliment a voice agent gets is that the caller does not mention it at all. They just say the booking was easy.
